Concierge and building services

Management software for property concierge companies

Your clients reach you by message, by email and by phone. Tosloc gathers those requests, turns them into jobs, and gives every client a space where they can see how far along they are.

The demo needs no account and is loaded with a full year of data.

The Tosloc client space, showing the jobs and documents a client can see

The job is answering. Not working out who asked for what.

A concierge business takes requests from everywhere: the managing agent reporting a dead bulb, the owner wanting a clean between two lets, the caretaker passing on a leak. Each arrives on a different channel and none of them get recorded anywhere. The invisible work is not the visit, it is the tracking: who asked, when, is it done, and was it billed.

  • Requests scattered across texts, emails and phone calls.
  • A client ringing to ask whether anyone came.
  • Work carried out and never invoiced.
  • Access instructions only one person knows.

What changes in a concierge business

Requests land in one place

The client files the request from their own space, attachments included. Turn it into a job or a quote in one step, and it keeps the link back to the request it came from.

A client space that answers for you

Clients see their appointments, quotes and invoices without calling you. They accept a quote from that same space.

Several sites per client, each with its notes

An owner with four flats, a residence with three blocks: every site carries its address, its contact and its access instructions, where they are needed when somebody is stood at the door.

Messages attached to the record

Exchanges with a client stay on that client's record rather than in an inbox. Whoever picks the file up can read the conversation.

From a message to a payment

  1. 1

    The client asks

From their space, with a photo if it helps. The request arrives with its author and its date.

  2. 2

    You schedule it

The request becomes a job, assigned to someone, on the right site, with the access instructions.

  3. 3

    The client follows along

They see progress, the write-up and the invoice from the same space.

Common questions

Can my clients see all of my data?

No. The client space shows only what concerns that client: their jobs, quotes, invoices and messages with you. A site's access instructions are never exposed there.

Can I brand the space as my own?

The client space carries your company's identity, logo included. It is your client signing in, and they should recognise your name on it.

How does a request become an invoice?

The request becomes a job or a quote. A completed job carries what was done and the parts used; an accepted quote becomes an invoice with the same lines. Either way, nothing is retyped.
